You are required to complete a background check before being hired and then every 5 years after that. The Ohio Department of Education (ODE) only accepts electronic copies. You MUST tell the agency performing the check that you need them sent to ODE. If you have the fingerprinting done at Canton City Schools, please remind them to forward the results to ODE.

The fee for the background check is $53.00 payable in either exact cash or personal check. You will need to bring your driver's license and social security card with you to the appointment.
The location for the background checks is at the Nadine McIlwain Administrative Center, 305 McKinley Avenue NW, Canton, OH 44702. First floor-Room 110.
Coaches Tool Chest is a once a year program that keeps our coaches up-to-date with all certification requirements. There is no cost to our coaches. You can obtain your discount code through your athletic director. When you complete the course each year you should sync the completion date to your Final Forms account or email your certificate to the athletic department.
You will be sent an email from TalentEd Records to start entering payroll information and documentation. You will need to bring your Drivers License and Social Security Card or other ACCEPTABLE DOCUMENTS to the athletic office as part of the payroll process. You will also need a cancelled check or a Bank Authorization Form for your direct deposit.
You can apply for your PAP through your OH|ID account at the Ohio Department of Education. If you have never had an Ohio certifications before, you will need your drivers license to create your account. Here is the link to ODE. When you are searching for superintendent’s signature use our IRN #043711 to ensure your application is routed to Canton City Schools for approval. NEW: You must also upload your Coaches Tool Chest certificate to the Mental Health Component section of the application.
Coaches will be issued key fobs to enter buildings. All new coach hires need to make an appointment with Rhonda Conrad 330-438-2661 to get issued an ID and fob. This cannot be done until AFTER the board meeting at which you are hired. Keys to internal spaces will be limited and arranged through the athletic department and head coaches.
These documents are also contained in your yearly Final Forms paperwork. While extensive, they can’t cover every particular situation. Reach out to your head coach and athletic director when you are unsure of how to proceed.
Coaches must be certified before they can transport students in a school van. It is highly suggested that that all sports have coaches on staff with the proper certification.

Only teams and groups listed on the usage calendars are permitted into our facilities.
Facility schedules are used by our custodial and security staffs to keep track of which groups have permission to be in our facilities and to plan coverage, cleaning, maintenance, and security alarms. Coaches should work through the athletic department to make sure that the time they need for training is available and scheduled. If a facility is unscheduled, that doesn’t mean you are free to use it.
Currently, all team activities and all rental requests are handled by contacting the Director of Sports, Athletic Facilities, and Athletic Partnerships at the contact information listed.

Any time you need to use a non-athletic facility such as the cafeteria, you will need to fill out and turn in the district form.
For athletic facilities, you can just email your AD and the Director of Facilities.
Volunteer Coaches must complete Coaches Tool Chest and a Background Check and get a Pupil Activity Permit as described below. In addition, they need to complete this application and forward it to Rhonda Conrad or bring it to you BCI check appointment.
Your form must be returned to athletics in enough time to get it board approved at least two weeks to the event. Good rule of thumb is to get it to us at least 6 weeks before.
Here is the form that must be filled out AND PRE-APPROVED BY YOUR AD for athletes who cannot travel with the team. This is not for convenience. This is for legitimate reasons such as other appointments or events, family trips, or proximity to home. In all other cases, athletes and a coach should be traveling together on district transportation.
All paid coaches are now required to click their hours of coaching through Time Clock Plus. Here is the information for logging into the system (cellular phone app is recommended but three options are available) and for approving your hours each week. The other experienced coaches on staff can likely help you with any questions. If not, you can always reach out to us.
If you are seeking professional development days because of athletic events or to attend a clinic, they are due two weeks before. The athletic department will not reimburse for hotel, food, or mileage for clinics. We will pay for clinic registration. Please get the information to the athletic offices as early as possible.
